Frequently Asked Questions
You’re thinking about getting some help with your business. Of course you have lots of questions. These are some that people ask us a lot. If your query isn’t answered below then please feel free to call us on 0800 193 0121 or email us at firstname.lastname@example.org. We’ll be delighted to talk about your individual requirements!
Q What equipment do I need?
A To use a diary you will need to be able to access the internet, you will find a laptop easiest, but a phone or tablet will let you read your diary, although input is difficult because of fat finger syndrome. If you are using a messaging service you could manage with text messages sent direct to your phone.
Q Do I need to divert my calls all the time?
A No. You are in control: You can pick calls up yourself if you are not busy, and then switch back to us when you are.
Q What happens if my call doesn’t get picked up straightaway?
A We are here from 8am to 7pm Monday to Thursday, 8am to 5:30pm on Friday and 8:30am to 1pm on Saturday and we aim to pick up every call within 10 seconds. If we do miss a call it will go through to a personal voicemail for your business. We will then call your client back at no charge to you.
Outside office hours your calls will go straight to voicemail and we will pick up the messages and call them back for you on the next working day.
Q Is it safe? What about Security? What about data protection?
A We take the security of your system very seriously – therefore, we have safe and secure access protocols in place to safeguard your data, and your clients details.
We are registered with the data protection agency; we don’t take any confidential information from clients, just a name, telephone number and in some cases an address or email address.
If you are using an online diary the data on it belongs to you. The diary systems are professionally administered with secure servers and regular back-ups to ensure that your data is safe and protected. To access your diary you will have been issued with a username and password – these will give you protected access and should be kept confidential, as you would with other business data. We are given access only to the diary and database to book customers in. We never see any notes or information other than names and addresses
Q What are your opening hours?
A We value your business as much as you do, so we are open 8am to 7pm Monday to Thursday, 8am to 5:30pm on Friday and 8:30am to 1pm on Saturday.
So your business can keep working, even after you’ve gone home.
Q How long does it take to get started?
A A simple messaging service can be set up in about 1 hour, you pay a first month fee and give us all the information about your business and we give you a phone number to divert to. Appointment booking takes a little longer – all your existing appointments need to be entered into the diary – but we could be up and running in just a couple of days! Take a look at our Getting Started page.
